Privacy Policy

Last updated: October 20, 2026

We collect what we need to run Ask Omnio, answer you and make the product better. We sell nothing. Your company's business data belongs to your company. We don't use it to train AI models unless your company agrees, one approved interaction at a time.

This policy covers our website at askomnio.com, email you send us, and the Ask Omnio platform at askomnio.ai. Your company's signed agreement with us adds more detail on the business data it puts into Ask Omnio. Where the two differ, the agreement governs that data.

Who we are

Ask Omnio AI ("Ask Omnio", "we", "us") is a business name of 1000758683 Ontario Inc., registered in Ontario, Canada. Our Privacy Officer is responsible for this policy and can be reached at info@askomnio.ai.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, Quebec's privacy law and the privacy laws of US states.

Your company's business data

For the business data your company puts into Ask Omnio, we act as your company's service provider. Your company decides what goes in and who can see it. We use it to provide the service to your company, on its instructions, and only in the limited ways described under "How we improve Ask Omnio".

  • Each company's data is kept in its own separate database space. The database itself blocks access from any other company's account.
  • We don't sell it, rent it or share it for advertising.
  • We don't combine its contents with other companies' data.
  • Our staff don't look at it, except when your company asks us to help or when needed to keep the service secure or meet a legal requirement.

If a person asks about their information inside your company's data, we will pass the request to your company and help it respond.

How Ask Omnio uses AI

Ask Omnio answers questions with a large language model, Claude, made by Anthropic. When you ask a question, the question and the parts of your company's data needed to answer it are sent to Anthropic for that answer only.

  • Anthropic doesn't train on it. Anthropic's commercial terms forbid it from training its models on our customers' data.
  • Short retention. Anthropic deletes what we send within 30 days under its standard terms. It may keep material its safety systems flag for misuse for longer, as its policies allow.
  • Check the answers. AI can be wrong. Check any figure that matters against your own records before you rely on it. Ask Omnio's answers are not financial, tax, legal or investment advice.

How we improve Ask Omnio

We study how Ask Omnio is used so we can plan and build new features and services. That includes which features get used, the kinds of questions people ask, where an answer fell short, the systems customers want to connect, and feedback you send us. We look at patterns across customers, not at your company's figures. We never publish or share anything that identifies your company.

When you tell us an answer was wrong

If you flag a conversation and choose to share it with us, our team may review that conversation, any presentation made from it, and the data it used, to find out what went wrong and fix it. Sharing is your choice each time; flagging alone shares nothing. We use what you share only to fix Ask Omnio, and we delete it within 90 days of resolving the issue. We don't use it to train our agents unless it is separately approved, as described below. Your company's administrator can turn sharing off for everyone.

Training our AI agents, only with permission

By default, nothing your company puts into Ask Omnio is used to train our AI agents. From time to time we may ask permission to use specific interactions for that purpose, for example: "May Ask Omnio use this conversation to improve its answers?"

  • Off unless someone says yes. Ignoring or dismissing the request means no.
  • Your company controls it. The business data belongs to your company. Your company's administrator decides whether your users may be asked. Where they may, each user decides for each interaction.
  • It says exactly what's included. A request covers the conversation, any presentation made from it, and the business data they contain. It never extends to anything else in your account.

When permission is given, we use that material only to train and test Ask Omnio's own agents. We don't sell it, show it to other customers, or give it to Anthropic or any other company to train their models. Access is limited to the people building our agents, and we remove people's names from it where we can.

Your company can withdraw permission at any time. We then delete the material from our training sets within 30 days and exclude it from any future training. An agent already trained on it can't fully unlearn it, which is why we ask before, not after.

Any broader use of your company's data would need a new, written agreement with your company. We will never widen it through a change to this policy.

Service providers and where data is processed

We use a small number of service providers. Each is bound by contract to protect the information and use it only to provide its service to us.

ProviderWhat it does for usWhere it processes data
Microsoft AzureHosts the Ask Omnio platform, its database, backups and security keysCanada (Canada Central and Canada East)
Microsoft 365Our email, including messages you send usCanada
VercelDelivers the website and the Ask Omnio app to your browser; website visit statisticsUnited States and global network
ClerkSign-in, accounts and two-factor authenticationUnited States
AnthropicAI processing for Ask OmnioUnited States

Your company's business data is stored in Canada. Some of it is processed in the United States when you sign in, load a page or ask a question in Ask Omnio. Information processed in another country is subject to that country's laws, and its courts, police or national security authorities may be able to access it.

We will update this list before adding a new provider that handles your company's business data.

We may disclose information if the law requires it, for example under a court order. We will tell your company first unless the law forbids it. If Ask Omnio's business is sold or merged, the information would pass to the new owner under the same protections.

How long we keep it

InformationHow long
Website visit statisticsKept by Vercel in aggregate form; they never identified you
Email you send us, including beta enquiriesUp to 2 years after our last exchange, unless you become a customer
Your Ask Omnio accountWhile the account is open. Deleted within 90 days after it is closed
Your company's business dataUntil your company deletes it or its agreement ends. Your company can export it first; we then delete it within 60 days

System and security logsUp to 90 days
BackupsDeleted data remains in encrypted backups for up to 14 days, then is gone

We keep some records longer when the law requires it, such as invoices.

How we protect it

  • Data is encrypted in transit and at rest.
  • Each company's data sits in its own database space with its own access controls.
  • Sign-in is managed by a dedicated identity provider, and two-factor authentication is available.
  • Passwords and keys are held in a secure vault, never in our code.
  • Our build process runs automated security checks on every change.

No system is perfectly secure. You help by keeping your password private, using two-factor authentication and telling us at info@askomnio.ai if you suspect a problem.

If a breach affects your information, we will tell your company promptly. Where the law requires, we will report it to the Privacy Commissioner of Canada or another regulator and notify the people affected.

Cookies

The website uses no cookies. Its visit statistics are cookieless and don't identify you. The Ask Omnio app uses only the cookies it needs to keep you signed in and secure. We don't use advertising or cross-site tracking cookies.

Email from us

If you email us, we will reply. We won't add you to a mailing list unless you ask. Every newsletter or product email we send has a link to unsubscribe, and we act on it within 10 business days.

How to recognise a real email from us

Email from Ask Omnio comes only from addresses ending in @askomnio.ai. Links in our emails go only to askomnio.ai or askomnio.com.

We will never ask you, by email, chat or phone, to:

  • send your password or a two-factor sign-in code
  • send payment card or banking details
  • pay through a link in an email
  • pay into a new or changed bank account

If a message asks for any of these, or you're unsure it came from us, don't click anything or reply. Forward it to info@askomnio.ai. Questions about invoices or payments go to the same address.

Your rights

You can ask us to:

  • show you the personal information we hold about you
  • correct it if it's wrong
  • delete it, where we don't need to keep it
  • stop using it for a purpose you agreed to, where that doesn't break a contract or the law

Email info@askomnio.ai. We will answer within 30 days. For information inside your company's data, we will pass the request to your company.

If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada. Residents of Quebec can contact the Commission d'accès à l'information. US residents may have more rights under their state's law, and we will honour them. We don't sell personal information or share it for targeted advertising.

Changes to this policy

We will post any change here and update the date at the top. For a significant change, we will email our customers at least 30 days before it takes effect. A change never applies to information collected before it without your consent.
